Add a Case Note

You can add two types of case notes:

  • Clinical notes—viewable by development counselors only
  • Training notes—viewable by everyone with access to the case

When you save a case note, it is automatically approved and locked, and you cannot edit it.

To add a case note:

  1. 1 Go to the Meetings and Case Notes section of the case and look for the Case Notes table.
  2. 2 On the Case Notes table, click the add sign.
  3. 3 Click the Title field and enter a title for the case note. Note: This field is viewable by everyone with access to the case.
  4. 4 Click the Category field and click the search icon.
    • a. Click an item to select it.
    • b. To see the complete list, click Look Up More Records.
    On the Look Up Record screen, scroll through the list, click the white space to the left of the item to select it, and click Add. Note: On this screen, do not click the list item itself. That opens another window about that list item.
  5. 5 If desired, click the Clinical Notes field to enter clinical notes. These notes are viewable by development counselors only. Note: If you enter a clinical note, the red asterisk on the Training Notes field disappears, making this field no longer required. You can add both a clinical note and a training note, or just one or the other.
  6. 6 If you did not enter a clinical note, click the Training Notes field and enter a note.
  7. 7 At the top of the window, click Save and Close. Remember, when you save a case note, it is automatically approved and cannot be edited.
  8. 8 The case note is now listed in the Case Notes table.

  • Go to the Meetings and Case Notes section of an associate’s case.
  • Add a case note to the case.
  • Click Save and Close.
  • Confirm that the case note is listed in the Case Notes table.
